Terms of Service

Last updated October 20, 2026

Who these terms are with

These terms are an agreement between you and OakPilot ("OakPilot," "we," "us"), a Kentucky business. They apply to contractors who sign up for OakPilot ("clients"), to people who call a phone line OakPilot answers ("callers"), including the OakPilot Booking sales line, and to visitors to getoakpilot.com. By using the service, calling a line we operate, or signing up, you agree to these terms and to our Privacy Policy.

The service

OakPilot provides an AI-powered phone answering and dispatch service for restoration and mitigation contractors. When a client's line forwards a call to us, our AI phone agent answers, collects the caller's name, callback number, address and issue details, briefs the client's on-call technician, and tries to connect the technician to the caller. If the technician does not answer, we send a page or message with the details. Clients also receive call reports with recordings.

OakPilot Booking is our own sales line. It qualifies callers who are interested in OakPilot and can book an intro call on OakPilot's Google Calendar.

Not a 911 service. No guarantee of emergency response.

If anyone is in danger, there is a fire, a gas leak, an electrical hazard, or any other threat to life or safety, hang up and call 911. OakPilot is not an emergency services provider and cannot dispatch police, fire or medical help.

OakPilot passes your call to the contractor's team, but we do not guarantee that a technician will answer, call back, or arrive within any particular time, or at all. Response, pricing, scheduling, arrival times and the work itself are decided and performed solely by the contractor, not by OakPilot. Calls can also fail or be delayed because of phone carrier, internet or provider outages.

AI disclosure and call recording

Calls to lines OakPilot operates are answered by an artificial intelligence (AI) voice agent, not a human. Calls are recorded and transcribed, and voice and transcripts are processed by AI providers to run the service, as described in our Privacy Policy. By staying on the line you consent to this. The AI may occasionally mishear or misstate information; it reads key details back so you can correct them. It will not quote prices, insurance coverage or arrival times.

For callers

  • Please give accurate information so the contractor can reach you.
  • The contractor you called is responsible for its services, estimates and work. Any agreement for restoration work is between you and the contractor.
  • Do not use the line for prank, abusive or fraudulent calls.

For contractor clients

  • Setup. We configure and test your line around your service area, services and on-call rotation before it takes live calls. You set up call forwarding from your number.
  • Your information. You are responsible for giving us accurate, current on-call schedules and phone numbers and for keeping them updated.
  • Your obligations. You are responsible for responding to the calls we pass to you, for the services you provide, and for complying with laws that apply to your business, including any notice or consent requirements for recorded calls and text messages to your customers and staff.
  • Data. Caller information we collect on your line is provided to you for your business use. We handle it as described in our Privacy Policy, including deleting recordings and transcripts after 180 days.
  • Reports and estimates. Call reports and any "estimated job value" figures are estimates for your information only.

Fees, term and cancellation

  • Fees. Clients pay a one-time setup fee and a monthly fee, at the rates shown in your order or checkout. Monthly fees are billed in advance. The 60-day guarantee works as described in Our 60-day guarantee below. Your monthly rate is held for as long as you stay a client. Any other offer terms apply as stated in your order.
  • Initial term. Service starts with an initial 90-day term.
  • Month to month after 90 days. After the first 90 days, service continues month to month. Either side may cancel with notice before the next monthly billing date; service runs through the end of the paid month.
  • Non-payment. We may suspend service if an invoice is unpaid after notice.
  • Refunds. Except as stated in your order or required by law, fees already paid are not refundable.

Our 60-day guarantee

If we don't recover one job worth more than the monthly fee, the next month is free.

A recovered job is a job you booked from a caller OakPilot answered when your team did not pick up first (after hours, weekends, or overflow during the day). It counts when (a) OakPilot's call log shows the call, and (b) you booked an inspection or job with that caller within 14 days. Its value is your (the owner's) good-faith estimate of the job's value, as marked in the weekly report. The 60 days start on your go-live date. If no single recovered job is worth more than your monthly fee by day 60, your next month is free (credited on your next invoice). Setup fees are not refunded under this guarantee.

Text messages

If you agree to receive text messages from OakPilot (for example, on-call alerts for a client's technicians, or confirmations for callers): message frequency varies; message and data rates may apply; reply STOP to opt out and HELP for help. Carriers are not liable for delayed or undelivered messages. No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. See our Privacy Policy for details.

Acceptable use

You may not use OakPilot to break the law, harass anyone, send spam, interfere with the service, or try to trick the AI agent into acting outside its purpose. We may block callers or suspend accounts that misuse the service.

Disclaimers

The service is provided "as is" and "as available." To the fullest extent the law allows, OakPilot disclaims all warranties, express or implied, including merchantability, fitness for a particular purpose and non-infringement. We do not promise that the service will be uninterrupted or error-free, or that any call will result in a job.

Limitation of liability

To the fullest extent the law allows, OakPilot is not liable for indirect, incidental, special, consequential or punitive damages, lost profits or lost jobs, or for property damage or injury arising from delays in emergency response. OakPilot's total liability for any claim relating to the service is limited to the amount the client paid OakPilot in the three months before the claim, or $100 for callers and visitors.

Governing law

These terms are governed by the laws of the Commonwealth of Kentucky, without regard to conflict-of-law rules. Any dispute will be handled in the state or federal courts located in Kentucky.

Changes to these terms

We may update these terms. We will change the "Last updated" date above and, for significant changes, notify clients directly. Continuing to use the service after a change means you accept the updated terms.
